What's included
Everything between a placed order and a paid invoice
Winning orders is the goal of every other service we offer. Order management is what makes sure you can actually process, fill, and get paid for the ones that arrive.
Order import from every marketplace you sell through
We pull incoming orders from GSA Advantage, GSA eBuy, FedMall, DLA Stores, and Amazon into a single system instead of leaving you to check five separate logins by hand. Most GSA Schedule holders lose time, and occasionally lose an order entirely, because nothing tells them a purchase order landed until they happen to check. We monitor every channel your orders can come through, so nothing sits unnoticed.
QuickBooks & accounting integration
Order data connects directly to QuickBooks or your accounting platform, so invoicing and reconciliation do not depend on someone re-typing what a federal buyer already entered. Fewer manual entries means fewer chances for a quantity, price, or line item to get copied wrong between systems.
Purchase order confirmation
Every incoming purchase order gets logged and confirmed against your current GSA Advantage pricing before it moves to fulfillment. Catching a mismatch here, before the order ships, is far cheaper than catching it after a contracting officer flags an invoice.
Delivery tracking & invoicing
We track each order from confirmation through delivery and make sure the invoice that follows matches what was actually shipped. Agencies pay on what was delivered, so a mismatched invoice is one of the fastest ways to delay payment on an order you already fulfilled.
Monthly TDR reporting tied to real orders
Transactional Data Reporting is due monthly for every SIN, and the numbers in that report should trace back to orders you can actually point to. We tie your TDR submission directly to the orders processed that month, instead of reconstructing it from memory near the deadline.
GSA Advantage & catalog visibility upkeep
None of the above matters if the orders never arrive in the first place. We keep your GSA Advantage listing current with accurate pricing and product data, since contracting officers skip listings that look stale before they skip listings that look expensive. A catalog that stays visible is what feeds every other part of this service.
How it fits together
Five marketplaces in. One system out.
Every order you win lands somewhere different. We pull them into one place before anything gets missed.

Why order management is its own job, not a side task
Manual entry costs real money
Every order copied by hand from GSA Advantage, FedMall, or eBuy is a chance for the wrong quantity, price, or shipping detail to slip through. Errors on a federal order are harder to fix after submission than before it.
An order you cannot report did not happen
TDR ties directly to the orders you fulfill. A purchase order that never makes it into your monthly report is a purchase order GSA cannot count toward your minimum sales thresholds.
A stale catalog stops orders before they start
Contracting officers skip listings with old pricing or missing product data. A contract that is technically active but poorly maintained on GSA Advantage generates no orders to manage in the first place.

How federal agencies actually place orders with you
GSA ordering works on a threshold system. How an agency buys from you changes based on the dollar value of the order, and knowing the rules helps you understand why some orders arrive instantly while others take weeks:
$10,000 or under
An agency can order directly from any GSA Schedule contractor with no quotes required. These are the orders most likely to arrive with little warning.
$10,001 to $250,000
The agency collects quotes from at least three Schedule holders, often posted as an RFQ on GSA eBuy. Missing an eBuy notification here means missing the order entirely.
Over $250,000
Agencies run a fair opportunity mini-competition among the relevant Schedule holders. These orders move slower, but they are also the easiest to lose track of across a long review period.
Most of the orders that slip through the cracks are not the large, competed ones. They are the small, instant ones that land on GSA Advantage with no notice at all, or an eBuy RFQ that sits unread until the deadline has already passed. We watch every channel so you see the order the day it lands, not the day someone happens to log in.
Why businesses run this through GSA Contract Services
We have worked exclusively in federal contracting since 1995, and order management grew out of a problem we kept seeing in our own clients: winning a Schedule and then losing money on the orders that followed it. If we handled your GSA Schedule contract acquisition or we manage your ongoing contract compliance, the same team keeps your order process running. If you hold a Schedule elsewhere, we take over order management from wherever your process currently stands.
Ready to stop chasing orders across five different logins?
Tell us how you currently track orders. An Authorized Negotiator will show you where the gaps are, at no cost for the assessment.
It covers importing your incoming orders from GSA Advantage, GSA eBuy, FedMall, DLA Stores, and Amazon into one system, connecting that order data to QuickBooks or your accounting platform, confirming and tracking each purchase order through delivery, and making sure every fulfilled order is reflected in your monthly Transactional Data Reporting.
What is the GSA OMS vendor portal, and do I need to log into it?
Most GSA Schedule holders check orders and quotes across several separate logins: GSA Advantage, GSA eBuy, and the Vendor Support Center at vsc.gsa.gov. There is no single official OMS portal that pulls all of it together. That gap is what our order management service closes, so you are not logging into five systems to find out what you sold.
How is GSA ordering different from GSA Advantage?
GSA Advantage is the online catalog where federal buyers search for your products and place orders directly, and GSA eBuy is where they request quotes for larger purchases. GSA ordering is the general term for how those two systems move a purchase order from an agency's search to your contract. Order management is what happens after the order lands: confirming it, fulfilling it, and reporting it correctly.
Do you help with GSA vendor registration?
Vendor registration happens in SAM.gov, which every GSA Schedule holder must keep current to remain eligible for payment. We handle that registration and its annual renewal as part of our GSA Schedule contract acquisition service, and we monitor it on an ongoing basis so a lapsed registration never quietly blocks payment on an order you already fulfilled.
Is GSA Auctions related to GSA Order Management?
No. GSA Auctions is a separate federal platform for selling surplus and seized government property to the public. GSA Order Management covers the purchase orders your business receives as a GSA Schedule contractor selling to federal agencies, an entirely different process with a different set of systems.
What does GSA stand for, and what is its main function?
GSA stands for the General Services Administration, the federal agency that manages procurement, real estate, and technology for the rest of the US government. Its main function on the procurement side is running programs like the Multiple Award Schedule, so agencies can order directly from vendors instead of negotiating a new contract every time.
What is the GSA ordering process?
For orders of $10,000 or under, an agency can order directly from any Schedule holder with no quotes required. Between $10,001 and $250,000, the agency needs quotes from at least three Schedule holders, often posted on GSA eBuy. Above $250,000, agencies run a fair opportunity mini-competition among the relevant Schedule holders before placing the order.
What does GSA stand for in banking?
In banking and commercial finance, GSA usually refers to a General Security Agreement, a document that gives a lender a security interest over a borrower's business assets. That is a different meaning from the General Services Administration this page covers. If you were searching for the banking term, you are looking for a lending or legal resource, not federal contracting.
